Title: Facilities and Administrative Assistant

Reports to: Senior Manager, Aviation Pathways A & P Program

Classification: Full-Time; Non-Exempt/hourly

Pay: Starting $16.00-$18.00 hourly contingent upon qualifications, experience and fit.

Expected hours: 40 per week

Job Summary:

Under the direct supervision of the Senior Manager, Aviation Pathways A & P Program, the Facilities and Administrative Assistant ensures the facility and classroom are operational, set up, clean and safe by performing routine maintenance, repairs, and inspections of the facility and equipment, and assisting with administrative tasks.  This position reports to the Senior Manager, A&P Pathways Program.

KEY RESPONSIBILITIES:

  • Meets quality standards, safety rules, and customer service objectives by performing janitorial and cleaning operations within designated areas.
  • Assists with administrative tasks and projects
  • Performs errands such as picking up supplies, taking equipment to get repairs, and occasionally shuttling students to and from the Pearl Harbor Aviation Museum
  • Reports equipment/cleaning product needs and faults to the Manager promptly.
  • Responsible for tracking, reporting and analysis of facility maintenance, equipment repairs, supplies, etc. as needed to support the Sr. Manager, Aviation Pathways and A & P Program.
  • Responsible for daily operations, including and may not be limited to: opening the parking lot gate and the facility, and ensuring all access doors and the parking lot gate are secured at the end of shift.
  • Maintains cleanliness by cleaning and disinfecting floors, bathrooms, classrooms, offices, breakrooms, and workshops, replenishing supplies like tissues, towels, and soap, and emptying wastebaskets daily.
  • Collaborates with members of the AP Program team and other departments and teams as necessary to support Aviation Pathways program goals
  • Demonstrates acceptable interactions with students, co-workers, and the general public and delivers positive, exceptional customer service.
  • Follows industry, federal, and state guidelines.
  • Other duties as assigned.

Required SKILLS AND QUALIFICATIONS:

  • A high school diploma or GED
  • Prior school/facility custodial/janitorial experience preferred.
  • Must be at least 18 years old and have a valid driver’s license, use of personal vehicle, valid motor-vehicle insurance, and satisfactory driving record.
  • Experience and knowledge using Microsoft Office Products.
  • Demonstrates ability to follow instructions, both written and verbal.
  • Demonstrates effective collaboration and teamwork with coworkers and facilities staff.
  • Ability to conduct repeated tasks on a consistent basis.
  • Experience with Administrative Skills/Responsibilities (accurate records keeping, detailed reports, etc.)
  • After training, must be able to execute all responsibilities without supervision and without causing harm to themselves or others.
  • Must be reliable to be on time for scheduled work.
  • Ability to pass a Federal background check to obtain and maintain Department of Defense access to Ford Island
  • Required to pass all pre-employment requirements

SCHOOL REQUIREMENTS:

  • The position operates on a dynamic schedule, and requires accommodation to varying work hours.

Physical Demands:

  • Prolonged periods of sitting at a desk and working at a computer. 
  • Ability to lift/carry up to 50 pounds, push/pull up to 50 pounds, stand, sit, bend, and walk for lengthy periods.
